Privacy statement

This statement explains how HiSubmit uses information needed to operate accounts, artist submissions, festival workflows, payments and communications. It is written for HiSubmit and does not copy the policy of another service.

Controller, legal bases and rights

HiSubmit S.r.l.s., established in Milan, Italy, is the controller for platform processing described here. We process data to perform the service contract, comply with legal obligations, protect the service and users through legitimate interests, and—where required—for consent-based optional technologies. You may request access, correction, deletion, restriction, portability or object to eligible processing by writing to info@hisubmit.com. You may also lodge a complaint with the Italian data-protection authority (Garante per la protezione dei dati personali).

Information we use

We may use account details, contact information, project metadata, uploaded files, festival participation records, payment and receipt references, support messages, audit events and technical information such as correlation IDs and security logs.

Why we use it

We use this information to authenticate users, deliver submissions and festival services, process checkout, prevent fraud and unauthorized access, provide support, improve reliability, and meet legal or accounting obligations.

Files and public pages

Artists control what they submit, but a festival may make selected project information public according to its settings. Private files and operational records are served through authorized application paths. Do not upload material you do not have the right to share.

Sharing and retention

We share information only with the festival or user roles that need it for the requested workflow, with payment or infrastructure providers when required to provide the service, or when required by law. We retain records for account, security, dispute and financial purposes for as long as reasonably necessary.

Retention depends on the purpose: account and operational data are kept while needed to provide the service; security and dispute records for the applicable limitation period; and financial records for the period required by applicable accounting and tax law. If a provider processes data outside the European Economic Area, HiSubmit will use the safeguards required by applicable data-protection law before the transfer.

Your choices

You can review and update account information through your profile, manage project and submission content where the workflow permits, and contact HiSubmit about privacy requests. Never send passwords, payment security codes or private keys in support messages.

HiSubmit uses essential browser storage for authentication, security, navigation, cart continuity and remembering your cookie choice. Optional analytics and marketing technologies are disabled until you give permission through the cookie notice. See our Cookie policy for the categories and choices.
